Batch Manager

In digital conversion services, batch management is the practice of grouping physical or digital assets into organized sets — batches — to streamline mass digitization. This approach enables conversion centers to apply standardized bulk actions such as optical character recognition (OCR), metadata tagging, and file format conversion to many files at once, rather than handling each individually.

Rather than handling files one by one, batch management lets service providers automate repetitive tasks, reduce turnaround times, and lower operational costs while maintaining strict tracking and compliance records. This systematic approach is essential for scaling digitization projects, maximizing operational efficiency, and ensuring uniform quality control across large volumes of records.

WIB Batch Manager

In WIB™ Review, Batch Manager is a workflow-driven management view for processing batches through configurable modules. The administrator defines a workflow specifying which modules each batch must pass through, and configures each module with the specific functions that run at that stage. Batch Manager itself is populated based on the workflow(s) assigned to a collection. Batch management is built around a process workflow and organized by Project, Collection, and workflow — preserving the original order of records within each batch.

Workflow

The minimum workflow runs Quality Control, then Verification, then Export. Quality Control is the first available module and provides reviewers a focused interface for identifying and addressing image quality issues. Verification is a required module shipping with Batch Manager and provides final data extraction verification before release of processed batches. Once batches pass Verification, they proceed to Export.

When all optional modules and AI features are enabled, the complete workflow becomes: Quality Control, then Manual Redaction, then Rescan, then Index, then Verification, then Export. Manual Redaction (optional, post-launch) supports manual redaction of sensitive information and requires AI Redaction to be enabled in workspace settings. Rescan (optional, post-launch) lets operators trigger rescanning of selected images. Index (optional, post-launch) provides manual data entry for cases where extraction cannot recover the required information from the image.

AI automation reduces the volume of items requiring human review. As batches pass through the workflow, the Quality Control module evaluates image quality and the Verification module evaluates extracted metadata. Items meeting or exceeding the passing confidence threshold are accepted automatically; items below the threshold are presented to a reviewer in the appropriate module. The passing confidence threshold is configured per Workspace under Workspace Settings.

Pre-processing and post-processing functions are applied to a Collection. These functions are configured at the Collection level under Project Management (Section 9). The underlying automation functions themselves — AI features, regular expressions, and similar — are defined under Configuration Management (Section 10), with workspace-level functions assigned to a Taxonomy and Collection-level functions assigned to the specific Collection.

Operating model

Each module exposes a focused interface for the user working in that stage of the workflow. Batches progress through the workflow stage by stage, with the administrator able to configure pre- and post-processing functions at each stage. Batch Manager ensures each step in the process is completed before advancing to the next step for each batch.

Only one operator can work on a batch at a time. Batch Manager provides tabs that let operators focus on a single task rather than viewing all batches simultaneously, helping reviewers maintain attention on the work in front of them.

Action buttons

Action buttons at the top of Batch Manager give operators and administrators control over batch state and visibility into batch history.

Import is a future feature, not yet available. Documentation will be added when this feature ships.

Play opens a batch and starts the operator working it in the module and stage where the batch currently is.

Pause suspends a batch. Pausing is important because production run rates are calculated based on the total time an operator spends in the batch. Operators should pause a batch when they have a question that needs to be answered before they can continue working it, or when they are on a break, at lunch, or leaving for the day so that another operator can continue the work.

Audit view shows each step in the workflow for a batch — who worked on the batch at each step, how long each step took, and the total time for the batch to complete the entire process.

Unlock lets an administrator unlock a batch that was left open by an operator.

Issue tracking

The Batch Manager grid includes three columns that surface processing issues requiring attention before a batch advances through the workflow: AI QC Issues, AI Data Extraction Issues, and Rescan Issues.

AI QC Issues displays the count of images in the batch that scored below the configured AI QC threshold. A value of 0 indicates all images met the threshold.

AI Data Extraction Issues displays issue counts in the format images / attributes, where the first number is the count of images containing at least one attribute below the confidence threshold, and the second number is the total count of below-threshold attributes across those images. For example, 3 / 15 indicates 3 images have extraction issues with 15 total attributes flagged across those images. A value of 0 / 0 indicates no extraction issues were detected.

Rescan Issues displays the count of images routed to rescan. Images are sent to rescan when they are rejected during QC review. A value of 0 indicates no images are pending rescan.

Grid Columns

In addition to the Issue tracking columns above, the Batch Manager grid includes the following columns:

Workflow displays the workflow assigned to the batch's Collection.

Note displays the Box Note entered for the batch, if any. Box Notes are entered from the QC module's Box Notes panel.

Date & Time displays the date and time associated with the batch, sortable by clicking the column header.

Images displays the total image count for the batch.

Queue and Status reflect the workflow stage and current status assigned to the batch. See Grid Filtering below for how these columns are used as filters.

User displays the operator currently assigned to or working the batch.

Function displays the pre- or post-processing function configured for the batch's current workflow stage, if any.

Session displays the Capture Program session the batch originated from.


Grid Filtering

Each tab in the Batch Manager grid includes column filters that allow users to narrow the list of batches displayed. Filters are independent per tab and do not carry over when switching between tabs.

To filter by a column, click the funnel icon below the column header and enter or select a value. To clear a filter on a column, click the clear icon next to the funnel. Filters must be cleared column by column — there is no global clear action.

The Date & Time column filter opens a date picker. Enter a date in month/day/year format to filter batches by date.

The Queue and Status columns filter by dropdown. Available values reflect the workflow defined for the workspace.
